Waitlist deposit agreements: avoiding disputes

Almost every deposit dispute comes down to one thing: nothing was written down. A simple written agreement before money changes hands, even between friends, prevents most problems before they start.

The four lines that matter

Your agreement needs just four things: the deposit amount, whether it is refundable and under what conditions, what happens if no puppy is available (refund, transfer to the next litter, or forfeit), and both signatures with a date. That is the whole document. It does not need legal language, but it does need to exist before money changes hands.

Pick one refund model and use it for everyone

Common fair models include: fully refundable until puppies are born, then non-refundable; or non-refundable but transferable to a future litter. Pick one and use it for everyone. The fastest way to lose a buyer dispute, and your reputation in breed circles, is having different terms for different people.

The consistency rule: every buyer on the same litter gets the same terms in writing. Handshake deals and special exceptions are where disputes are born. If you want to make an exception for a friend, write it down anyway.

Keep a per-litter ledger

Keep a simple ledger per litter: buyer name, contact details, deposit amount, date paid, balance due, and status. When someone asks "how much do I still owe," you should be able to answer in ten seconds. If you cannot, the system is the problem, not the buyer.

What to put in writing early

One more habit that saves endless trouble: never promise a specific puppy to anyone before temperament evaluations, usually around 7 weeks. Promise "a puppy from this litter, matched to your home" and put that in writing. The number of breeder headaches caused by promising "the red collar girl" at three weeks old is enormous.
